How to Give Access Rights
Overview
This guide helps you choose the right method for granting users access to doors and resources in the Mobile Access platform. The best approach depends on your organization's size, how many users and doors are involved, and whether you need time-based restrictions or automation.
Choose Your Method
Select the approach that fits your situation:
For Individual Users
Grant Access to One Person — Assign specific doors to a single user. Best for one-time access or special cases.
For Groups of Resources
Grant Access Using Resource Groups — Group multiple doors together and assign them at once. Best when many people need access to the same set of doors.
For Teams of Users
Grant Access Using User Groups — Create teams that share the same access rights. Best for departments or job roles.
For Large Organizations
Combine User Groups and Resource Groups — Match teams to door (resource) groups for efficient management. Best for enterprises with many users and locations.
Add Time Controls
Set Time Restrictions — Limit when access works (specific hours or days). Use with any method above.
Automate Access Management
Automate with External Systems — Sync access rights from HR systems or Azure Active Directory. Best for organizations with existing user management systems.
Quick Decision Guide
| Your Situation | Recommended Method |
|---|---|
| One person needs access to a few doors | Single User |
| Multiple people need the same doors | Resource Groups |
| A team shares identical access | User Groups |
| Managing many users and many doors | Combined Groups |
| Access only during business hours | Time Restrictions |
| Sync with Azure AD or HR system | Automation |
If you are new to Mobile Access, start with the Single User method to learn the basics. Once comfortable, move to Resource Groups or User Groups for more efficient management as your organization grows.
