Grant Access Using User Groups
- Admin account with access rights management permissions
- User group created with members added — if no user groups exist yet, create them first in Users → User Groups (see User Groups reference)
- Resources installed and visible in the platform
Overview
Use this method to assign access rights to an entire group of users at once. Instead of configuring access for each person individually, you assign resources to a user group — all members of that group automatically receive the same access. This is best for departments, teams, or job roles where everyone needs the same doors/resources.
A user group is a collection of users who share the same access rights and validity periods. For example, a group called "Maintenance Team" could include all maintenance staff who need access to technical rooms across multiple buildings. When you assign a resource to the group, every member gets access immediately.
Steps
Step 1: Navigate to the User Group
- Go to Users in the left sidebar menu
- Select User groups from the submenu
- Find and select the desired user group from the list
Step 2: Open Access Rights
On the user group details page, locate the User Groups Access Rights section and click Give new rights.

The user group details page shows two separate access rights sections: User Groups Access Rights (individual resources assigned to the group) and Resource Group Access Rights (resource groups assigned to the group). This tutorial covers assigning individual resources. To assign resource groups instead, see Combine User Groups and Resource Groups.
Step 3: Select Resources
- Check the boxes next to the resource(s) you want to assign
- Use the filters or search field to find specific resources
- Review the selection panel at the bottom (e.g., "2 Resources selected")
- Click Confirm to proceed

Step 4: Configure Validity Period
Set when the access should be active:
"Set the same validity for all" toggle:
- ON — Apply the same start and end dates to all selected resources
- OFF — Configure each resource with a different validity period
Validity options:
- Valid from — Set the start date and time
- Valid to — Set a specific end date and time, or leave empty for "Valid for now" (indefinite access)
Validity configuration — set dates for each resource or use the toggle to apply the same period to all
When using "Valid for now," the access right has no automatic expiration. An administrator must manually update or remove it when access is no longer needed.
Step 5: Save
Review your configuration, then click Save to apply the access rights. All members of the user group immediately receive access to the selected resources.
Step 6: Verify the Results
After saving, the assigned resources appear in the User Groups Access Rights table with their validity periods and status.

From this table, you can manage existing access rights using the available action buttons: Remove access rights, Edit validity, or Give new rights to add more resources.
