Resource Groups

  • Resources already installed and configured in your account

Overview

Resource Groups allow you to organize resources into logical collections for easier access management. Instead of assigning access rights to individual doors one by one, you can group related resources together and assign the entire group at once — saving time and reducing errors.

Key Capabilities:

  • Organize resources into named groups for bulk access management
  • Speed up access rights assignment by selecting groups instead of individual resources
  • Enable weekly schedules for time-restricted access on supported resource groups
  • Link with external systems using system IDs for automated provisioning

When access rights are granted using a resource group, end users see the access rights as individual doors or cabinets in their mobile app — the grouping is an administrative tool, not visible to end users.

To access Resource Groups:

  1. Log in to your Bitwards Mobile Access account
  2. Expand "Resources" in the left sidebar menu
  3. Click "Resource groups" from the submenu

Resource Group List

The Resource Groups page is organized into two tabs: Own groups (groups created within your account) and Groups shared with us (groups shared from other accounts).

The Own groups tab displays all your resource groups in a table with the following columns:

Table Columns:

  • Resource group ID — System-generated unique identifier, useful for API integrations (not sortable)
  • Resource group name — User-defined name for the group (sortable)
  • Group description — Optional description of the group's purpose (sortable)
  • Support for schedules — Checkmark (✓) indicates weekly schedules can be applied to this group; cross (✗) means scheduling is not available (not sortable)
  • Shared — Indicates whether the group is shared with other accounts (not sortable)

Sorting: Click the Resource group name or Group description column header to sort alphabetically. The default sort is ascending by resource group name.

Pagination: Configure rows per page (10, 20, or 50) using the dropdown. The total group count is shown below the page title (e.g., "16 Resource groups").

Creating a New Resource Group

Click the "Create new" button in the top-right corner to create a new resource group.

Group Properties:

  • Group name (mandatory) — A descriptive name for the group
  • Group description (optional) — Additional details about the group's purpose
  • Support for schedules — Checkbox to enable weekly schedule support for access rights granted through this group

After setting the properties, assign resources to the group by selecting them from your available resources list.

Naming Convention

Use clear, descriptive group names that reflect the purpose or location — for example, "Helsinki Office Common Areas" or "Warehouse Loading Docks." This makes it easier for administrators to select the right group when granting access rights.

Schedule Support

The Support for schedules setting determines whether weekly schedules can be applied when granting access rights through this resource group.

When enabled (✓), administrators can restrict access to specific days and times using weekly schedules. When disabled (✗), access rights granted through this group are active at all times within the validity period.

Schedule Support Planning

Enable schedule support when creating the resource group if you anticipate needing time-restricted access. The schedule support setting affects what options are available when granting access rights through this group.

Viewing and Editing a Resource Group

Click any row in the table to open the resource group details. From the details page you can:

  • View all resources currently assigned to the group
  • Edit the group name, description, and schedule support setting
  • Add or remove resources from the group
  • Link the group with an external system using System ID and External ID fields
External System Integration

Resource groups can be linked to external systems (such as Azure AD or HR systems) using the System ID and External ID fields in the edit form. This enables automated provisioning where external systems can manage group memberships. See Automate with External Systems for details.

Important Notes

End User Visibility

Resource groups are an administrative tool only. When you grant access using a resource group, end users see individual doors and cabinets in their mobile app — not the group name. This means changes to the group (adding or removing resources) affect which doors users can access.

Resource Groups and Regions

If your organization uses regions, resource groups can be linked to specific regions. A Region Admin can manage resource groups within their region, but linking a resource group to a region restricts adding resources from outside that region's locations.
